Privacy Policy

This policy explains how personal data is processed when you use o123.pl or contact o123 through forms, email and the communication channels made available on the website.

The controller of personal data is Filip Fusek, operating under the o123 brand, ul. Bierutowska 8, 50-557 Wrocław, Poland.

2. Data we may process

The scope of data processed depends on how you use the website and the method of contact you choose.

  • email address,
  • phone number, if provided voluntarily,
  • type of planned project or event,
  • estimated budget,
  • date or date range,
  • estimated number of guests,
  • message content and other information voluntarily provided in an enquiry,
  • information associated with scheduling a meeting through Calendly,
  • technical information associated with use of the website, such as device, browser, network request and usage information to the extent generated by the technologies used by the website.

3. Purposes and legal bases

  • responding to enquiries and handling correspondence on the basis of the controller's legitimate interest in managing communications;
  • preparing a proposal and taking steps at your request before a possible contract where the enquiry concerns a specific service;
  • organising and handling scheduled meetings;
  • website analytics following the relevant choice concerning analytics;
  • remembering privacy and cookie preferences;
  • maintaining website security, functionality and diagnostics;
  • establishing, exercising or defending legal claims where necessary;
  • complying with legal obligations where such obligations arise.

4. Request a Quote form and Resend

Data submitted through the Request a Quote form is sent to o123 in order to handle the enquiry and prepare a response or proposal.

Resend is used to provide the technical email delivery functionality for the form. Data required to deliver the message may be processed by this provider to the extent necessary to provide the service.

Submitting the form does not constitute consent to receive marketing communications. Form data is not automatically used for a newsletter or separate marketing activities.

5. Google Analytics 4 and analytics

The website uses Google Analytics 4 to understand how the website is used, measure traffic and improve website functionality and content.

The website uses Google Consent Mode. Analytics storage is denied by default. If the visitor accepts analytics, analytics_storage is changed to granted. Advertising-related settings, including ad_storage, ad_user_data and ad_personalization, remain set to denied on o123.

Where analytics consent is not granted, Google technologies may operate in a restricted mode and transmit consent signals or so-called cookieless pings without storing analytics cookies on the user's device.

You can change your analytics choice at any time using the “Cookies” control available on the website.

6. Cookies and local storage

The website uses technologies necessary for its correct operation and for remembering analytics preferences.

The visitor's analytics preference is stored locally in the browser under the key o123-cookie-consent-v1. The stored information includes the consent version, the analytics choice and the date on which the choice was updated.

Analytics technologies requiring a choice are controlled through the Cookies settings available on the website.

7. Calendly and scheduling

The Schedule a Call feature uses Calendly. The Calendly script and embedded widget are loaded only after the scheduling feature is opened.

When the widget is opened, the visitor's browser connects to Calendly infrastructure. Information entered directly into the Calendly interface is processed through that service to enable meeting scheduling.

Calendly may process data outside the European Economic Area, including in the United States, using legal mechanisms applicable to international data transfers.

8. WhatsApp, Microsoft Teams and email

The website allows visitors to initiate contact through WhatsApp, Microsoft Teams and email.

Selecting WhatsApp or Microsoft Teams opens an external service. Further processing of information is then also governed by the relevant provider's privacy practices.

The email link uses the mailto mechanism and may open the email application configured on the visitor's device.

o123 may record the selection of a contact channel as an analytics event where analytics has been enabled. Message content is not intentionally included in such analytics events.

9. Recipients

In connection with operating the website, data may be processed by service providers supporting o123 to the extent necessary to provide their services.

  • website hosting and technical infrastructure providers,
  • Resend — for messages generated through the form,
  • Google — in connection with Google Analytics 4,
  • Calendly — in connection with meeting scheduling,
  • Meta / WhatsApp — where WhatsApp is selected as the contact channel,
  • Microsoft — where Microsoft Teams is selected as the contact channel,
  • email and other technical service providers required to handle correspondence.

10. Transfers outside the EEA

Some technology providers used by o123 operate globally. As a result, certain information may be processed outside the European Economic Area, including in the United States.

Where such a transfer takes place, mechanisms provided for by applicable data protection law are used, such as an adequacy decision, the EU–US Data Privacy Framework, Standard Contractual Clauses or other appropriate safeguards, depending on the provider and the nature of the transfer.

11. Retention

Enquiry data is retained for the period required to handle correspondence, prepare a proposal and consider potential cooperation.

Where no cooperation follows, data may be retained for a further period justified by the protection against potential claims or another legal obligation.

Information connected with an established business relationship may be retained for periods required under applicable law, including accounting and limitation periods.

Analytics preferences remain stored in the browser until they are changed, browser data is deleted or the consent mechanism changes.

12. Your rights

  • erasure where the legal conditions are met,
  • restriction of processing,
  • data portability where applicable,
  • objection to processing based on legitimate interests,
  • withdrawal of consent at any time where particular processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal,

13. Voluntary provision of data

Providing personal data when contacting o123 is voluntary. Information required for a particular form or booking is nevertheless necessary to fulfil the relevant request.

Information submitted through the o123 website is not used to make decisions producing legal effects concerning the visitor based solely on automated processing.

This policy may be updated when website functionality, technology providers or applicable legal requirements change. The current version is published on this page together with the date of the latest update.
